How to import Contacts in Outlook 98?
Several assumptions are
made when following
these instructions:
- You are logged on to
the network. This means that if you are dialing in to the network,
you first use your dial-up password for the Dial-up Server, then
log on to the NT Network.
- You are able to browse
the network via Network Neighborhood or via a mapped drive. For users
on the company premises AND for users dialing in, more information
on mapped drives is available on the main page. The drive where this
file resides needs to be accessible before following through the instructions.
- Also please note that
you do not need to close current applications for this update. As
a matter of fact you can keep this page open on the desktop right
along with Outlook 98 (right-click in an empty space on the Task Bar
and select "Tile Windows Horizontally", for example). Or,
you can print this out. You will not need to reboot afterward.
Instructions for Importing
Contacts:
- Open Outlook 98.
- Go to File, then "Import/Export".
- In the "Import/Export
Wizard", select "Import from another program or file".
Then Next.
- In "Import a File"
box, select "Personal Folder File (.pst)". Then Next.
- In file to import, select
browse, then "Look In"... via the drop-down menu, look for
"Public on Corp link(P:)"
[Note: if you are part of the national sales team or if you have no
mapped drives, there is an alternative: locate "Network Neighborhood",
then "Entire Neighborhood". Open "Corporate",
then "Corpfs1". Scroll down to locate the "Public"
folder. From here, continue on with # 6].
- Locate the "IT"
(Information Technology) folder. Open it. Then open the "ITApps"
and then the "Win98" folders.
- Locate the "Contacts"
folder, open it, and single click/select the file named "contacts".
Then "Open".
- After getting back to
the Import Personal Folders box, you are now faced with some options.
Be careful here. Select "Replace duplicates
with items imported" only if you want to replace the contact
listings you currently have. If you have manually edited certain contacts
(i.e if you enhanced contact information beyond the usual email and
phone information), then this will replace it. If you select "Allow
duplicates to be created", then you will get the updates
(i.e new hires) but also you will have 2 entries for the many contacts
you already have. You will then need to review the Contacts and delete
the duplicate item you do not want to keep. Or, you can select "Do
not import duplicates". This is probably the best
choice, as it will update only the contacts you do not have. This
will keep what you have but update the new contacts. Finally,
select Next.
- At the "Select the
Folder to import from" prompt, single-click/select "Contacts"
only. There is no need to check "Include subfolders" here.
Import items into the same folder in "personal Folders".
Then Finish.
